Terminating employees can be the hardest thing a manager or HR officer has to do.
A termination letter notifies an employee that he or she is no longer required, explains the reasons, the next steps in the process and sometimes stipulates the payout balances such as annual leave and redundancy, if applicable.
Here are some examples and downloadable templates that can make the process a little easier for you.
Dear (employee name), Re: Termination of your employment at (company name) Your performance has been reviewed by (manager name) at three counseling interviews held on (insert dates). One written warning was provided to you at the conclusion of each counseling session. During these interviews your performance was examined in the following manner: (Insert details of how performance was examined) The Company has given you ample opportunity to improve your performance. A performance improvement plan was developed at the first counseling session, along with details of expected improvements. The plan and expected improvements were reviewed at each subsequent counseling session. At the conclusion of each session, you agreed to undertake the necessary steps to improve your personal performance. Unfortunately, we have seen no sign of satisfactory improvement. Dear (employee name), Re: Dismissal for Serious Misconduct This letter is to confirm the reason/s for the termination of your employment with (company name). On the (insert date) at (insert time) you were found (insert description of the incident which lead to the dismissal). Upon learning of the incident, (insert manager name) conducted a full and rigorous investigation of the circumstances. Interviews were conducted with yourself and others. You were given the opportunity to explain your actions. At the conclusion of the investigation, the Company reached the view that you were guilty of (insert allegation). Such actions constitute serious misconduct. Consequently, your employment was terminated without notice on (insert date). Yours sincerely, |

As our Offer of Employment made clear, your initial employment was made subject to a probationary period of (insert length of period) concluding on (insert date). Dear (employee name), Re: Your resignation dated (insert date) This letter is to confirm that (company name) accepts your resignation as conveyed verbally by you to (manager name) on (date of resignation notification). You will receive all termination payments. This will include payments in lieu of any annual leave or long service leave that you are entitled to.
